Service
These Terms govern use of RentingPilot, operated from Denmark. RentingPilot provides website import, rental fleet management, booking pages, Cara AI chat, voice/TTS features, WhatsApp workflows, dashboards, marketplace listing tools, and related services for rental businesses.
Legal contact: [email protected]. These Terms apply to the current RentingPilot launch and may be updated as the product, providers, and legal entity mature. If you do not agree with these Terms, do not use the service.
Accounts
- You must be at least 18 and authorized to act for the rental business you register.
- You must provide accurate business, contact, fleet, pricing, and booking information.
- You are responsible for keeping login credentials secure and for activity under your account.
- You must not create accounts to impersonate another business, abuse trials, or bypass plan limits.
Plans and billing
- The free trial is intended for evaluation and may limit cars, voices, automation, marketplace exposure, or message volume.
- Paid plans are billed monthly unless otherwise agreed. Current public pricing has three public tiers: Starter EUR49/month, Scale EUR99/month, and Pro Fleet EUR249/month, plus custom pricing for larger or unusual deployments.
- Stripe processes card, SEPA, invoice, and subscription billing where available. We do not store card numbers.
- Checkout may collect billing country for tax and invoice purposes. VAT or other tax may be added where required by law.
- Voice add-ons, WhatsApp usage, phone-call usage, custom integrations, and white-glove onboarding may be billed separately where stated.
- Failed payments may lead to reminders, limited functionality, or suspension after a grace period.
- Taxes, VAT, and local compliance obligations may apply depending on your business location.
Acceptable use
- Use RentingPilot only for lawful rental, booking, support, and marketplace operations.
- Do not upload malware, scrape the platform, attack infrastructure, bypass rate limits, or attempt unauthorized access.
- Do not use Cara to mislead customers, hide fees, discriminate unlawfully, or make promises your business will not honor.
- You are responsible for your cars, prices, insurance rules, pickup rules, cancellation rules, and local rental regulations.
Customer data and retention
You own your business data and are responsible for having the right to collect and process your customers' booking details. RentingPilot processes that data to provide the service, send messages, operate Cara, support bookings, and keep the platform secure.
You must respond to customer privacy requests where you are the primary controller. We will support reasonable export or deletion requests where technically and legally possible.
- Driving license photos are stored only when uploaded for a booking and may be retained for up to 7 years where rental, insurance, dispute, accounting, or EU legal duties require it.
- Booking history is retained for 7 years where legal, tax, accounting, insurance, or dispute records require it. Personal identifiers may be anonymized when deletion is valid but the booking record must remain.
- Email and phone data are kept while needed for the account, booking, support, billing, security, or legal purpose, then deleted or anonymized.
- Cara chat transcripts are retained for up to 90 days, then deleted or anonymized unless needed longer for a dispute, fraud, safety, or legal obligation.
- Authenticated users may request export or deletion through supported dashboard/API flows, subject to identity checks and legal retention duties.
AI features
Cara can help answer questions, collect booking details, summarize fleet information, and send messages. AI output can be wrong or incomplete. You remain responsible for reviewing important content, keeping your fleet data accurate, and honoring confirmed bookings.
Voice, phone-call, WhatsApp, and marketplace features may depend on third-party providers and plan availability.
Availability
We aim to keep RentingPilot reliable and fast, but no online service is guaranteed to be uninterrupted. Planned maintenance, provider outages, network incidents, abuse prevention, or emergency fixes may affect availability.
Termination
- You may cancel your subscription according to the billing flow available in the dashboard or by contacting support.
- We may suspend or terminate accounts for non-payment, illegal use, abuse, security risk, or serious Terms violations.
- After termination, data may be deleted or anonymized after a reasonable closure period unless law requires retention. Booking, billing, and license-photo records may be retained for the legal periods described above.
Liability
RentingPilot is provided "as is" to the maximum extent permitted by law. We are not liable for indirect, incidental, special, punitive, or consequential damages, including lost profits, lost bookings, or lost data. Our total liability is limited to the amount paid for the service in the 12 months before the claim, unless applicable law requires otherwise.
