Cookie Policy

Overview

This Cookie Policy explains how RentingPilot ("RentingPilot", "we", "us"), operated from Denmark, uses cookies and similar local storage on the RentingPilot website, dashboard, booking pages, and Cara chat.

We follow a privacy-first approach: only essential storage is active by default. Analytics and marketing storage stay switched off until you explicitly turn them on. You can accept all, reject all, or set granular preferences at any time. This policy works together with our Privacy Policy.

What cookies are

Cookies are small text files a website can store in your browser. We also use related browser technologies such as localStorage and sessionStorage, which keep small amounts of data on your device. In this policy "cookies" covers all of these. Some are strictly necessary to make the site work; others are optional and only used with your consent.

Cookie categories

• Essential — required for login, security, language, referral codes, wizard progress, PWA prompts, and remembering your cookie choice. These cannot be switched off because the site would not work without them.
• Analytics — help us understand usage and improve reliability and funnel performance. Off by default; only active after consent.
• Marketing — referral attribution and campaign measurement. Off by default; only active after consent.

We do not use advertising or cross-site tracking cookies.

Essential storage we use

The following essential storage keeps the service working. It is always on and is not used for tracking.

• Login session — keeps you signed in to the dashboard securely.
• Security tokens — protect forms and requests against abuse (including bot protection).
• Cookie consent (rentpilot_cookie_consent_v1) — remembers your cookie choice for up to 12 months so we do not ask again.
• Language preference — remembers your chosen interface language.
• Referral / affiliate code — attributes a sign-up to the correct partner where applicable.
• Setup wizard progress — remembers where you are in onboarding so you do not lose your place.
• PWA install prompt — remembers if you dismissed the "add to home screen" prompt.

Analytics

Where analytics is enabled, we aim to use privacy-friendly, aggregated measurement (such as Cloudflare Web Analytics, which is designed to work without tracking cookies). If any analytics storage requires a cookie, it is only set after you opt in. Analytics data is used to measure reliability, performance, and how the product is used in aggregate — not to identify individuals across other sites.

Marketing

Marketing storage is limited to referral attribution and campaign measurement for our own RentingPilot campaigns. It is off by default and only active after you opt in. We do not sell personal data and we do not run third-party advertising trackers.

Third-party storage

Some features rely on trusted providers that may set their own essential storage when you use that feature. These run only to deliver the service you requested:

• Cloudflare — hosting, CDN, security, and bot protection (e.g. Turnstile) may set essential, security-related storage.
• Stripe — when you reach checkout or billing, Stripe may set storage needed for secure payment processing and fraud prevention.

These providers act as our processors and are described further in our Privacy Policy under "Service providers".

Managing your choices

You control optional cookies through our consent banner. You can accept all, reject all, or set granular preferences for analytics and marketing separately. Rejecting optional cookies never blocks the core service — essential storage stays active so the site keeps working.
